Onsite badge printing at the NEC
Conference Badges supported Lloyds Banking Group across a programme of five events at the NEC, Birmingham, delivering onsite badge printing for large corporate audiences. Attendees included C-suite, senior leadership, regional managers, operational staff, and external guests, with many of the same delegates returning across multiple events in the series.
The brief was consistent: rapid check-in, accurate badges, and a professional delegate experience from the moment doors opened.
Challenge one: Short registration window but no delay tolerance
A specific challenge was that many delegates had to travel on the day of the event, so a lot of registrations would have to happen close to the plenary session at which the CEO was speaking.
It was essential that delegates didn’t experience any registration delays, even if they were arriving in coachloads just in time for the plenary, so that the CEO could start speaking on time and set the tone for the event without it looking like the auditorium was still loading.
Challenge two: 5 events, returning audiences and one high standard to uphold
The registration operation had to handle:
- Up to 4,500 attendees per event arriving across concentrated peak windows
- Late registrations and data changes absorbed without delaying check-in
- Consistent badge accuracy across all five events
- Peak arrival surges at the NEC, a large, high-traffic venue where foot traffic can surge due to multiple coaches or trains arriving together
- Data integrity maintained across the programme, with attendee details often carried forward and amended between events
Solution: a print-on-demand workflow, built to repeat
Conference Badges deployed the same onsite print-on-demand badge operation across all five events. No badges were pre-printed. Every badge was produced at the point of check-in from live registration data, accurate to the moment the delegate arrived rather than the last spreadsheet export.
For a programme of this length, onsite production removed risks that compound over time. Pre-printing 4,500 badges per event means 22,500 badges are produced in advance across the series. Every late change, every no-show, every name correction becomes either waste or a reprint queue. Printing badges on arrival eliminated that entirely.
The same core workflow, station configuration, and operational team were deployed each time. By the second event, the team knew the NEC’s registration flow – where queues could form, when the morning surge peaked, and which entry points carried the heaviest foot traffic. That knowledge carried forward. For returning delegates, check-in felt familiar. For the organisers, each event required less briefing than the last because the team already understood how the venue’s registration area behaved under pressure and what the client expected.
