Conference Badges provided a full onsite registration and badge printing service for a major international event at the Lisbon Congress Centre on five different occasions.

The event has grown from 10,000 to nearly 30,000 attendees. This included delegates, speakers, exhibitors, sponsors, VIPs, media, and operational staff, each requiring a distinct badge type with specific access permissions and visual identification.

The brief was to keep registration moving at the pace of the event, ensure every attendee received the correct badge, and set a professional, organised tone from the moment the doors opened. With up to 14 badge categories and 40 ticket types in play, and attendee data changing right up until arrival, pre-printing was never a realistic option.

The registration team was tasked with handling:

  • Up to 30,000 attendees arriving across concentrated peak windows, with no tolerance for queuing
  • 14 distinct badge designs, each linked to different access levels, branding rules, and visual identification requirements
  • Attendee data that continued to change up to the point of arrival with late registrations, amended details, last-minute additions
  • Brand, design consistency and sponsorship across every badge category, from general delegates through to VIPs and sponsor guests
  • Management of session-specific and area-specific access, where the badge itself served as the primary visual credential for security and hospitality teams

Solution: 65 printing stations with automated badge assignment

 

To keep registration moving across a venue of this size, Conference Badges deployed 65 badge printing stations spread across the registration area, positioned to prevent traffic building at any single entry point.

Each station automatically matched the attendee to the correct badge design at the moment of printing. This removed the need for staff to manually select from 14 templates, which could have introduced both delay and error. The correct access level, layout, and branding were applied every time without manual intervention.

For security and session management teams, the 14 visually distinct badge types meant attendee categories were identifiable at a glance. Hospitality staff directing VIPs, session managers controlling room access, and security teams monitoring restricted areas could all make decisions from the badge alone, without needing to check lists or scan codes at every touchpoint.

During the morning rush, all 65 stations ran near capacity, but queues never built up. During mid-afternoon lulls, the operation scaled down. The infrastructure was designed so that peak periods produced no queues and quiet periods produced no idle stations.

Result: registration that kept pace with a 25,000-person event
