FAQs on event technology

We make registration and attendee journeys smoother, including onsite badge printing, check-in scanning, lead capture (for exhibitors and sponsors to record their meetings), attendance tracking, and reporting so event organisers can reduce queues and improve data quality.

Yes. We were one of the first companies to offer this service widely and have extensive onsite printing experience. Our Print on Arrival workflow prints badges as attendees arrive, which helps handle late additions, walk-ins, name changes, and reprints without pre-print waste.

Badges are printed only for people who actually arrive, so you avoid over-printing, last-minute changes becoming unusable stock, and leftover badge waste for no-shows that never arrived.

A positive side-effect is that if you have an event where you’re expecting a bit of a drop-out rate, the attendees that are there don’t see a lot of uncollected badges, so it doesn’t look like the event was poorly attended.

Yes. We offer lead capture via The Badge Scanner app, allowing exhibitors or staff to scan attendee badges and capture contact details, then add qualifier data such as notes, products of interest and lead priority.

Check-in scanning confirms attendance and speeds entry. You can also scan at other points around the event, e.g. breakout rooms. You use the data as an indicator of guests’ interests and to assist capacity planning.

Lead capture scanning is for exhibitors/sponsors to collect contact details and notes for follow-up. Both can use scannable badges, but the workflows and reporting outputs are different.

Yes. Event Flow Analysis helps you understand engagement and movement/interest patterns (based on how and where scanning is used), so you can optimise layouts, content, staffing, and sponsor value. We can provide simple ‘batch scanners’ which record the entry for downloading and analysing later, or ‘live scanners’ – mobile devices that can send data to our server for live reporting and feed data back to the user (e.g., whether the guest is allowed to enter the room).

We support many integrations, so your registration data and badge printing/scanning workflows “talk to each other”. Some popular ones include Eventbrite, Swoogo and Cvent. We can also integrate with other tools like Google Sheets or Airtable.

For small one-off events, we would usually work from a structured export (like Excel or CSV).

Typically, the first name, last name, company, role/title and attendee type. A unique ID is advantageous if you’re using our scanning services or sending us updates later. We’ll confirm the best field set based on whether you need check-in only, lead capture, or reporting.

Yes. We offer onsite managed services and onsite tech support to help run the registration/badging operation and keep things moving during peak arrivals. We’ll set up your registration desk, train staff and be there throughout registration to make sure everything runs smoothly.

Yes, you can hire event tech equipment such as printers and laptops, which is useful for one-off events or when you want a managed setup without permanent ownership.
